Free IFTA software doesn't exist—here's what actually works instead

Any tool claiming to be "free IFTA software" is either a limited calculator (not a filing tool) or collecting your data to upsell you later. Legitimate filing requires access to official IFTA Inc. rate matrices updated quarterly and state-specific filing portals maintained by state revenue departments. These are government resources that vendors cannot monetize as a free product without cutting corners on compliance or privacy.

North Carolina's IFTA E-File, Georgia's Tax Center, Arizona's online system, and Washington State's mailed forms all provide free, government-hosted filing with built-in rate tables. These portals only accept filing if your base jurisdiction is that state. Check your state's motor carrier division website for the filing portal URL and mailing address.

Spreadsheet + rate table workflow beats any paid software for solo operators

You need three inputs: miles per state, gallons purchased per state, and the official IFTA tax rate table for the quarter you're filing.

Build a single worksheet with columns for each state you operated in. Rows: miles, gallons purchased, tax rate, tax owed. Multiply gallons × tax rate for each state. Sum the total. No formulas beyond multiplication and addition. No learning curve. No vendor lock-in. Works offline. Costs zero dollars.

Keep fuel receipts in a folder (digital or paper). Keep your mileage log in the same spreadsheet or exported from your ELD. When the quarter ends, pull the rate table from IFTA Inc., plug in your numbers, and file.

Real Q2 2026 example: owner-operator filing from Texas base

Scenario: You ran 5,800 miles across four states and bought 860 gallons total. You're based in Texas, so you file with Texas Motor Vehicle Division.

Your fleet MPG is 5,800 miles ÷ 860 gallons = 6.74 MPG. This ratio signals data-entry errors or vehicle problems if it deviates significantly from your baseline.

File Form 208 (IFTA Quarterly Tax Return) with Texas or use your state's online portal. Include copies of your fuel receipts and mileage records. Keep originals for four years.

When spreadsheet DIY stops working

Once you run five or more trucks, tracking fuel receipts by state becomes a logistics problem, not a math problem. Operating across surcharge states (Kentucky and Virginia charge additional per-gallon diesel surcharges) or Canadian provinces makes rate lookups error-prone.

Export your mileage from your ELD in spreadsheet format and pair it with fuel-card statements for automatic receipt capture. This gets you 80% of the way there.
